How do I get my equipment inventory in order? Excel has become a nightmare, and we're constantly losing everything.
Hi everyone! I need some advice or just an outside perspective, because I'm really getting discouraged.
We're a small company (we do installation and maintenance, with four teams constantly on-site). And we're facing a huge problem with keeping track of the tools, instruments, and expensive equipment they bring with them to jobsites.
We're currently trying to manage everything in Google Sheets. The idea is that each technician should log into the spreadsheet and note what they picked up from the warehouse, where they took it, and when they'll return it. In practice, it's complete chaos. Someone forgot to write it down, another handed the tool off to a third person right on the job site, and ultimately, no one can find the clues.
Every week, the same quest begins:
We spend a ton of time chatting about things like, "Who's got the laser level?" or "Who picked up the hammer drill from the warehouse?"
Periodically, tools simply disappear. Recently, we lost an expensive tester, and no one will admit who had it last. I had to buy a new one, which is a net loss.
We also tried a paper logbook at the warehouse – they either ignore it or write in it in illegible handwriting.
I tried cursing and imposing fines – but it only ruins my relationship with the guys, and it doesn't improve things.
Could you tell me how you solve this problem? Are there any simple life hacks, convenient mobile apps, or control methods that actually work in practice and don't require workers to fill out tons of paperwork? I'd be grateful for any ideas, because this mess is already taking up too much time and money.
